HACFO OPERATIONS
The Operations Division organizes and oversees the daily operations of the Hausa Christians Foundation (HACFO). It ensures that our activities are well-coordinated and productive by managing our procedures and coaching our people.
The area of responsibility for this role is very wide and thus requires thorough knowledge of various Divisional processes.
The goal is to safeguard and augment the efficiency of the HACFO’s operations to facilitate accelerating development and long-term success.
The following are the offices to support the HACFO’s Operations Division:
- Admin Secretary/PA to the President/Receptionist-Complain Desk
- Accountant/Internal Auditor
- Head, Partners Service Unit and Human Resources/ Volunteers Care
- Head, Event Planning and Logistics
- State Coordinators
- Volunteers
PRIMARY FUNCTIONS OF THE DIVISION:
- This arm is responsible to the Lead Minister for administering the operational affairs of the Foundation, working with Team Heads and staff to achieve the objectives of the Foundation. Liaise with the Lead Minister to make decisions for operational activities and set strategic goals
- Supervise staff from different Divisions and departments and provide constructive feedback to the President
- Evaluate regularly the efficiency of our activities procedures according to organizational objectives and apply improvements
- Responsibilities include overall direction for the daily management of HACFO’s office, the coordination of all human resources, finance, accounting, facilities, maintenance, operations, events scheduling, purchasing and the HACFO’s technology systems.
- Can maintain discretion and confidentiality as the Foundation’s Operations Director often works with highly confidential information and conflict situations.
ESSENTIAL RESPONSIBILITIES:
Personnel Management
- Gives general direction to the weekday operation of the Foundation office to help ensure HACFO websites, Facebook Pages and programs are updated, calendars are updated, periodicals are published and newsletters are published and distributed
- Responsible for the daily management of HACFO’s office, including all of human resources for all non-ministerial staff
- Sees to the maintenance of all office equipment and computer systems.
- Assists the Personnel Team in the development and administration of the personnel policies and procedures of the Foundation.
- Maintains personnel records.
- Assures the Foundation’s compliance with federal and state labor laws.
- Coordinates the vacation schedule; maintains all vacation/leave hour totals.
Financial Management
- Oversees the Ministry’s Finances in the receipt, deposit and disbursement of all HACFO’s funds.
- Oversees the purchasing process and maintaining vendor relationships.
- Oversees the preparation of financial reports of all Teams.
- Oversees the administering of the payroll for HACFO’s Staff and Resource Persons.
- Works with the Foundation’s Accountant (Financial Department) to assure all tax reports are promptly paid and timely filed.
- Open, review and route bills to the correct person or group and secure money and in coming cheques.
Properties Management
- Develops and administers policies and procedures concerning the use of all HACFO’s properties, and facilities.
- Works with staff and Teams in coordinating the assignment of HACFO’s facilities for meetings and activities.
- Evaluates periodically the insurance needs of the Foundation.
- Oversees the security of the Office.
- Maintains an inventory of HACFO’s property and equipment.
